This document sets out the terms and conditions of individual’s (“Members”, “You”, “Your”, “Them”) membership of the Institute of Health Visiting (“iHV”, “the Institute”, “We”, “Us”).
- All membership applications must be made through the website. As such, Members are requesting that the iHV begins the supply of digital and/or physical content to them during the 14-day cancellation period. Members acknowledge and agree that they will not be entitled to receive a refund of a subscription payment once they have logged into their online account.
- Initial membership duration is for one year. A Member may only request to resign or cancel their membership using the online form, or by email to membership@ihv.org.uk after the initial one-year term has been completed. After the one-year term, your membership will automatically renew unless you cancel your membership.
- Cancellation, termination or suspension of membership at any time throughout the first year shall not be eligible for a refund of any fees either in whole or in part.
- It is the Member's responsibility to ensure that the correct payment has been made to the iHV on or before the due payment date. If payments are late, membership will be suspended and access to services, rights or benefits will be withdrawn.
1.1 You can apply for iHV membership via the website. The iHV has several membership levels that may be appropriate for you. It is your responsibility to ensure that you are in the correct category and that you meet the eligibility requirements for the membership category.
1.1.1 The number of Members at any time is decided by the iHV. The iHV may also change membership categories. At present, the current levels of membership available are: Member; Concessionary - Student; Concessionary – Retired; and International.
1.1.2 Changes to employment circumstances may affect eligibility for membership type and the benefits and services available.
1.1.3 Benefits, services and right of membership may be withheld or withdrawn if you are found to be in a category of membership for which you are not eligible.
1.2 You agree to provide the correct registration details to the best of your knowledge.
1.3 All applications will be reviewed by the iHV. The Institute may decline any membership application or renewal and shall not be obliged to give any reason for this. Once your application has been accepted, the Member will be liable to pay the membership fee.
1.4 Your membership of the iHV is dependent on:
1.4.1 You meeting the eligibility criteria for the relevant category of membership, as outlined on the iHV website.
1.4.2 Your payment of the annual subscription fee or appropriate monthly instalments.
1.5 The iHV reserves the right to terminate a membership on written notice if a Member fails to pay any amount due under their membership subscription, on the due date for payment and remains in default over 30 days after an outstanding payment reminder has been issued.
1.5.1 In the event of termination of membership for any reason, the Member is liable to pay in full for the services up to and including the date of expiry of membership should any benefits have been accessed. Note: The initial membership term is for one-year. After the one-year initial membership term, your membership will automatically renew. You will need to contact us directly if you wish to cancel after this term.
1.5.2 You will be liable for payment of arrears if you have paid a lower subscription category amount that was not applicable to your circumstances.
2.1 Membership allows Members to access a range of exclusive iHV member benefits. Full details of benefits can be found here.
2.2 The iHV reserves the right to vary its Member benefit offer over time in response to Members’ needs, including the cessation of specific benefits, and shall not be required to provide any alternative benefit(s).
2.3 Member benefits are non-transferable and allowing access to third parties is strictly prohibited.
2.4 Following receipt of the welcome email, Members can access the member-only area of the iHV website, attend designated Member events and training sessions, and access exclusive content, discounts and resources for iHV Members. Once login has occurred, it is not possible to request refunds or cancellation of membership as membership benefits will have been deemed to have been accessed. A Member may only request to resign or cancel their membership using the online form, or by email to membership@ihv.org.uk after the initial one-year term has been completed.
3.1 All iHV materials, resources and publications provided as part of its membership offer, including all website and online learning hub resources, are for private use only and must not be used directly or indirectly for commercial purposes of any kind without prior written consent.
3.2 By becoming a Member of the iHV, a Member agrees to not pass on or publish any iHV publications, materials, content or resources to any third parties without seeking advance written permission from the iHV.
3.3 Unless otherwise stated, the iHV owns the copyright and any other intellectual property rights for all material on the iHV website and in our materials, publications, products and resources (or is licensed to use the same). Materials include, but are not limited to, the content, design, layout, look, appearance, graphics, and resources on this website, as well as other content such as articles and other text. Intellectual Property Rights means all patents, copyright, design rights, registered designs, trademarks, know-how, database rights, confidential formulae and any other intellectual property rights and the rights to apply for patents and trademarks and registered designs.
4.1 The iHV membership year will consist of twelve months in the first instance, commencing from the date of joining. Membership fees for the first 12 months must be paid in full, even if the Member chooses to cancel their membership before the end of the initial one-year term, or pays their membership fee by monthly direct debit. 4.2 For corporate membership only - The full membership fee becomes immediately due and payable for the agreed term on signing of the contract. Early termination or cancellation by the corporate member does not relieve the obligation to pay the full amount for the contract term. No refunds, partial credits, or pro-rata adjustments will be issued under any circumstances. This clause shall survive termination of the agreement and is intended to ensure the financial commitment agreed upon at the outset of the membership term.
4.3 With the exception of Corporate and International members, after the first year, the membership will automatically transition to a rolling monthly or annual subscription (depending on the selected direct debit option). After the initial 12-month membership period, a Member may request to resign or cancel their membership using the online form, or by email to membership@ihv.org.uk and by cancelling subsequent direct debit payments. We are unable to provide refunds for direct debit payments already received for either monthly or annual payment plans. By proceeding with membership, the Member acknowledges and accepts this commitment.
4.4 iHV Student Members are entitled to the concessionary iHV student rate from the start of their student health visitor training to the expected date of completion of training. Please note: iHV student membership is only available to SCPHN students and does not include individuals undertaking any other form of studies; after the completion of SCPHN training date is reached, student members will be automatically transferred onto the ‘Member rate’.
4.5 It is the Member's responsibility to ensure that the correct payment has been made to the iHV on or before the due payment date.
4.6 In the event that your payment is not received and you fall into arrears with your membership subscription, you will be sent a reminder that payment due has not been received and that you are therefore recorded as being in arrears with your membership subscription.
4.7 Members will be invited to renew their membership annually through payment of the annual subscription. Members can also choose to pay their annual membership subscription via a monthly Direct Debit to spread the cost over the year, using iHV payment partner GoCardless. The amount of the monthly payment will be determined by the iHV and published on our website.
4.7.1 The Institute does not accept any responsibility in terms of confidential data with respect to payment information for any UK membership level. This is solely the responsibility of our UK payment partner, GoCardless, who has detailed privacy policies and practices to protect user information.

4.8 Membership prices are subject to review annually in August. Following this review, membership fees may be increased, including during the term of an existing contract. This includes an increase to monthly membership payments, which will apply from the effective date of the revised pricing. Members will be given at least 30 days’ notice of any price change.
4.9 As a charity, the Institute operates a strict no refund policy for memberships. However, where the Institute is at fault and has taken an unauthorised payment or overpayment, the Institute shall process a refund of that overpayment. These can take up to 10 business days to be credited back to the account. For enquiries relating to cancellation of any type, please email membership@ihv.org.uk
5.1 International Members are entitled to receive all the same benefits of membership outlined above. Members are also bound by the terms set out in the Key Terms and Conditions.
5.2 International Membership requests can be made through our website, or you can apply via email to membership@ihv.org.uk
5.3 International Members are requested to make payments annually via debit or credit card only, via our payment partner, Braintree. Renewal of International Membership is not automatic, and therefore members will be contacted via email one month prior to expiry of membership with relevant renewal information. Membership includes access to digital resources, online member benefits and a digital member welcome pack. For an additional fee to cover the cost of postage and packaging, the iHV can provide International Members with an iHV Member badge and/ or physical member welcome pack.
6.1 Corporate membership requests are managed by our membership team who will discuss your organisational requirements and develop a bespoke package to meet your needs. Please apply via email to membership@ihv.org.uk.
6.2 Corporate membership fees are based on a sliding scale with reduced membership rates (compared to individual membership rates) and an additional discount for corporate group membership over 50+ members.
6.3 iHV membership fees are reviewed annually in line with inflation – we endeavour to keep our costs as low as possible, offering excellent value for money for staff continuing professional development whilst still ensuring that we maintain a high-quality member offer.
6.4 It is the responsibility of the Corporate Service Lead Member to keep the details and records of their Corporate staff Members up to date.
6.5 Corporate membership will run from the start date specified in the contract for a 12-month period (or longer specified term). To accommodate staff changes within organisations during the term of membership, the iHV will make changes to staff details and enable Member access when notified by the Corporate Service Lead Member.
6.6 The organisation agrees that it will share a copy of the iHV terms and conditions of membership with its staff, at the start of iHV membership.
6.7 Corporate memberships are bound by the same cancellation and payment liabilities. If payments are overdue, then the Corporate memberships active for that organisation will be put on immediate hold.
6.8 Renewals for Corporate memberships will be issued three months prior to expiry.
